Dropbox File Requests vs an Event Photo Album

Compare Dropbox File Requests and Ourview for event photos: guest uploads, gallery visibility, file limits, storage, downloads, and cost.

OurviewPublished

Dropbox File Requests can work well for event photos when you want guests to send files into a folder you control. An event album such as Ourview is worth considering when you also want guests to browse a shared gallery, immediately or after a scheduled reveal. Both support guest uploads without creating an account, so account-free uploading alone is not a reason to switch.

This guide compares Dropbox File Requests with Ourview specifically. We publish Ourview; its limits are included alongside its advantages. Dropbox's official documentation and Ourview's current application code were reviewed on November 4, 2026. This is a document-and-code comparison, not a hands-on test of either service.

Start with collection or viewing

A file request is an invitation to send files. It is different from inviting someone to a shared folder or sending a viewing link. Dropbox's file request guide says the destination folder is private by default, though you can choose a shared destination or share the files afterward.

For an organizer who wants to collect photos, review them, and later send a selection, that can be enough. You do not need an event album simply to receive files from people without Dropbox accounts.

If guests should see the collection, plan that access separately. Dropbox supports view-only links to files or folders, including viewing and downloading without a Dropbox account. A file request and a viewing link serve different purposes; label them clearly if you use both. Sharing a folder with edit access grants broader permissions, including editing and deleting, so check the permission you actually intend to give.

Ourview combines contribution with your chosen event visibility. A shared gallery can open immediately or at a scheduled reveal time. A host-only collection lets guests contribute without browsing the collected photos. The upload closing time and gallery reveal are separate settings: revealing photos does not reopen uploads, and closing uploads does not extend storage.

Compare the guest steps

Dropbox's upload instructions describe opening the request, choosing Add files, selecting files, and completing Upload. Guests may be prompted for their name and email. They do not need a Dropbox account or to sign in to one. A green check mark indicates a completed upload.

For Ourview, a guest opens the invitation, fills in Your name, selects Join this memory, and adds photos through the browser. The name is a contribution label, not a verified identity. A completed upload is marked Shared. New guests can join only while uploads are open, capacity remains, and the event is accessible. The host signs in separately to create and manage the event; see the guide to collecting photos without guest accounts.

For either service, opening a link successfully is only the first check. Ask a willing guest to finish uploading one photo, then confirm that the organizer can find it.

Check file limits and the space you need

Dropbox's current file request documentation lists 2 GB per file for Basic, Plus, and Family, and 250 GB per file for Professional, Essentials, Business, Business Plus, Standard, Advanced, and Enterprise. These are per-file ceilings, not an allowance for the whole event. Received files use the requester's available Dropbox storage; if it is full, guests can receive an upload error. Check your actual receiving plan before sending invitations.

Ourview accepts photo files up to 25 MiB each, including HEIC/HEIF. Video uploads are currently disabled. If guest videos are part of your collection plan, Dropbox File Requests is the more suitable of these two options, provided the receiving plan and available space meet your needs.

Ourview also has guest capacity and a chosen photo allowance of 5, 10, 25, or 36 per guest, or a paid unlimited-photo option. Unlimited photos does not remove the per-file size limit or the storage expiry. A rehearsal guest uses capacity, and rehearsal uploads use that guest's allowance.

For either destination, keep the source on the guest's phone until you have checked the received file. Download a sample and open it; a preview alone does not establish that you have the file you expected.

Share one clearly labeled upload invitation

Dropbox provides a request link you can copy into a message. If you use a QR code, verify that it opens the file request, rather than a folder viewing link. Check the QR tools available in your own workflow and plan; QR availability should not be the deciding factor between these services.

Ourview shows a guest link and QR in Invite guests, with Copy link alongside it. Replacing the invitation invalidates the old link and its QR, so any printed signs and old messages need updating.

A link can be forwarded. With Ourview, someone who receives it may be able to join while the event allows contributions and capacity remains. A private invitation link is not a verified guest list. With Dropbox, keep the request's destination folder permissions separate from the ability to submit files. Describe who can see the photos before asking guests to contribute.

Budget for the event and the archive

If your existing Dropbox account has enough available space, collecting event photos may cost nothing extra. File requests are available across Dropbox plans, although automatic deadlines are limited to specified paid plans. Requests can also be closed manually. Check the current request conditions and Dropbox plans for your account and region before buying storage. This guide does not quote a regional Dropbox subscription price.

Ourview's base price for up to 100 guests is $29.99 USD with a chosen limited photo allowance. Unlimited photos adds $9.99, bringing that example to $39.98 USD. The five-guest base option is free with a limited allowance; unlimited photos is a paid extra at that capacity too. These are current product price examples, not a live checkout or regional tax quote. See current event pricing.

Ourview storage lasts 90 days from the event start, including paid events. An earlier upload deadline does not extend that period. While the event is accessible and neither frozen nor expired, the host can use Download all to save ready photos available from storage as a ZIP. Missing storage objects can be skipped, so check the extracted files rather than assuming the archive is complete.

Dropbox keeps the collection in your receiving account, subject to its storage and account policies, rather than Ourview's fixed event window. Neither choice replaces a separate copy of important photos. Assign someone to save and inspect the collection; the download and backup guide includes a folder layout and backup record.

Choose for the job you need done

Your requirementPractical choice

Rehearse either choice before inviting everyone

Use the same checklist for both services, with a willing iPhone user and an Android user. This is a suggested rehearsal, not a report of tests we ran.

  1. Open the actual upload link outside the organizer session. Record account, name, email, or app prompts. Make sure a Dropbox link is a file request.
  2. Finish one photo upload. Wait for the completion indication and confirm that the organizer received it. If you need video, rehearse that requirement in Dropbox.
  3. Check what the guest can see. Verify the Dropbox destination and any separate viewing link, or Ourview's shared, reveal, or host-only setting.
  4. Save and open the sample. Check its format, dimensions, and file size against the source where available. Try an HEIC file if guests will use that format.
  5. Scan your intended printed QR, if using one. Confirm its destination and keep the direct upload link as a fallback.
  6. Write down the closing and saving plan. Include available storage or guest capacity, the upload deadline, who saves the files, and where a separate copy will go.

Choose Dropbox File Requests if straightforward collection into your existing storage covers the job. Choose an Ourview QR code photo album when the event gallery and visibility options fit your plan, and you can save the photos within 90 days. If you are also considering Google's shared albums, the Google Photos comparison covers that different contribution model.
